Return & Cancellation Policy

 
At Varma Payment Processing, we are committed to transparency and fairness in all of our agreements. The following policies apply to all merchants:
 

1.⁠ ⁠Minimum Processing Volume

 
•⁠  ⁠Merchants must process a minimum of $10,000 USD per month in transactions.
•⁠  ⁠Accounts that consistently fall below this threshold may be subject to review or termination.
 

2.⁠ ⁠Minimum Contract Term

 
•⁠  ⁠All agreements require a minimum commitment of 3 months.
•⁠  ⁠Early termination before the initial 3-month term will trigger penalties as outlined below.
 

3.⁠ ⁠Equipment Responsibility

 
•⁠  ⁠All terminals, POS systems, and devices provided by Varma Payment Processing must be returned in good working condition.
•⁠  ⁠Merchants are fully responsible for the equipment assigned to them.
 

4.⁠ ⁠Early Cancellation & Equipment Policy

 
•⁠  ⁠If the agreement is canceled before completing the initial 3 months, the merchant must pay 100% of the total cost of the equipment, regardless of its condition.
•⁠  ⁠If the equipment is damaged, lost, or returned in poor condition at any time, the merchant is responsible for paying 100% of the total cost of the equipment.
 

5.⁠ ⁠Standard Cancellation (After 3 Months)

 
•⁠  ⁠Merchants who cancel after the initial 3-month term must:
 
  * Provide 30 days’ written notice.
  * Return all equipment in good working condition within 15 days of cancellation.
  * If the equipment is not returned, or is returned damaged, the merchant will be billed for 100% of the total cost of the equipment.
 

6.⁠ ⁠Refunds

 
•⁠  ⁠Varma Payment Processing does not refund processing fees already incurred.
•⁠  ⁠Refunds on equipment are not provided once the unit has been activated and assigned to a merchant account.
•⁠  ⁠Refunds may only apply to unused, unopened equipment returned within *10 business days of delivery*, subject to inspection and approval.
 

7.⁠ ⁠Acceptance of Terms

 
By enrolling in Varma Payment Processing services, the merchant acknowledges and agrees to these Return & Cancellation Policies, including full financial responsibility for equipment under the conditions stated above.
